How audit-ready is your fleet?

Thirteen questions drawn from DVSA’s own guidance and the transport manager’s duties in Statutory Document No. 3. Answer honestly and you’ll see where your records would stand up, and where they wouldn’t. Your answers stay in your browser.

Maintenance

Are safety inspections always carried out on or before the date, at the interval stated on your licence?

Do you keep a forward planner showing inspection dates at least six months ahead?

Is brake performance assessed at every safety inspection, with laden brake tests (or brake monitoring) through the year?

Could you produce every inspection sheet and defect report from the last 15 months, today?

Drivers and defects

Does every driver do a walkaround check before the vehicle is first used each day, and could you prove it for any day last month?

Is every reported defect recorded, assessed, repaired where needed and signed off with evidence of the repair?

Do you check every driver's licence regularly (usually every three months) and keep the evidence?

Are Driver CPC, tachograph card and licence expiry dates tracked with enough notice to act?

Do drivers sign to confirm they have read your toolbox talks and policies?

Drivers' hours

Are driver cards downloaded at least every 28 days and vehicle units at least every 90 days?

When the data shows an infringement, is it explained to the driver and the action recorded?

The transport manager

Could your transport manager show, week by week, how they exercised continuous and effective management?

If a call-up letter arrived tomorrow, could you produce a complete, indexed file within a week?
