DVSA’s Guide to Maintaining Roadworthiness expects a planner showing inspection dates at least six months ahead. Here is one for the year, as an A3 PDF: 52 ISO weeks with the Monday dates, rows for sixteen vehicles, the 28-day driver card and 90-day vehicle unit download rhythms, the Earned Recognition four-week periods, and rows for MOT, tacho calibration and your licence dates. Print it, write on it, keep the sheets.

Why a planner matters

The planner is the plan. The completed sheets are the proof.

There is no single legal interval for safety inspections. The operator decides, within DVSA’s guidance of 4 to 13 weeks depending on the work, and records the interval on the licence. What the examiner looks for is that the inspections happened on or before the date, at that interval, and that there is a plan showing the dates well ahead. DVSA recommends ISO week numbers: an inspection is on time if it falls in its ISO week.

The two rhythm rows are the legal maximums for tachograph downloads: driver cards every 28 days, vehicle units every 90 days. Start them from your own download dates. The Earned Recognition row shows the scheme’s four-week measuring periods, Monday to Sunday, which is also a sensible rhythm for a monthly look at the whole fleet.

Keep the inspection sheets for at least 15 months, with the defect reports, and have a named person sign each one off as roadworthy before the vehicle goes back out.
